Substitution
What is substitution?
A substitution is a delivery line where the supplier sends a different product in place of the one ordered, such as another brand, size or pack of a similar item. Substitutions are often made in good faith when the ordered product is out of stock.
On receiving, they appear as a delivery note line that does not match the purchase order line. The receiving business must then decide whether to accept the substitute or reject it.
Why it matters
An unnoticed substitution means stock is recorded under the wrong product. The supplier invoice then names an item the purchase order does not, and the three-way match fails for a reason nobody recorded. Price and pack size may differ too.
How Weeva handles it
Goods Receiving Automation flags the substitution, proposes the closest match in your catalogue and asks the receiver to confirm before anything posts. The accepted product is what goes on the GRV (GRN elsewhere).
