HOW IT WORKS

From any inbound format, straight into your systems.

Five steps, automated end to end, with your team involved only where judgement is needed. Here is exactly what happens to an order and to a delivery note.

How does Weeva's order automation work?

Weeva captures orders from email, WhatsApp, uploads and watched folders, and reads each one with an AI model that scores every field. It matches the buyer to your customer list and every line to your catalogue, checks quantities, units, pack sizes, VAT and totals, routes anything uncertain to a person, and pushes approved orders to your ERP, never twice.

What happens to an order, step by step?

Five steps from the inbox to the ERP.

  1. 01

    Capture

    Any format, any source.

Illustrative example: An order inbox with four orders from four customers, by email and WhatsApp, each in a different format and each its own job.

Orders reach Weeva the way your customers already send them: to your order email address, forwarded to Weeva by your team or by an auto-forward rule, to a dedicated WhatsApp number, dropped onto the platform as an upload, or saved into a Google Drive or OneDrive folder that Weeva watches. Nothing about your customers' habits has to change.

    More on capture

Each document becomes its own job, and the original file or message is kept against the order it produces. That original is the start of the audit trail: anyone can open the order later and see exactly what the customer sent.

Very large documents get a first pass that finds where one order ends and the next begins, so a long PDF of store allocations is split before it is read. A document too large to process safely is set aside for a person rather than half-read.

  2. 02

    Extract

Every field read, every field scored.

Illustrative example: Four header fields read from a Ridgeback Foods purchase order, each with a confidence bar, and the requested delivery date read at 64% and marked for a second look.

Weeva reads PDFs, scans and photos the way a person looks at a page, and reads spreadsheets and CSV files as the structured data they already are. Every document is read into the same fixed shape: the header (customer, PO number, dates, currency, delivery address, payment terms and totals) and every line (code, description, unit of measure, pack, quantity, price, line total and due date).

    More on extract

Every field carries a confidence score. A clearly printed PO number scores high; a smudged quantity on a phone photo scores low. The score decides what happens next, so your team only looks at the fields that need a second pair of eyes.

Documents with several orders inside are split into one order each, and Weeva never invents a figure. If a subtotal is missing it is computed and labelled as computed. If the printed total disagrees with the lines, both are kept and the order is flagged.

  3. 03

    Match

The buyer to your customer list, every line to your catalogue.

Illustrative example: An order line with the description Cola 500 x12 matched to SKU COLA-500-PET-12, showing the shortlist of three candidates and the chosen match.

First, the buyer. Weeva makes sure it has not mistaken your own company details on the document for the customer's, then checks what it remembers about this sender, then compares names and aliases against your customer list. A customer it cannot place is flagged, never guessed.

    More on match

Then every line. A 13-step matching algorithm combines deterministic and statistical methods with frontier LLMs and reasoning models to match the customer's product description to your exact product code. A line it is still unsure of is flagged for a person to confirm.

Match Memory sits over all of this. It learns how each customer has ordered before and remembers the amendments your team makes, per customer. Once your team confirms that a customer's "Cola 500 x12" is your COLA-500-PET-12, that answer is used for that customer from then on. The same memory holds each customer's units and pack sizes, so an order for "1 case" and an order for "12" both land correctly.

  4. 04

    Validate

The maths, the money and the reasons for review.

Illustrative example: An order in review with two plainly worded reasons, a low-confidence quantity and a total that does not match its lines, each with the figures side by side.

Every line is checked: quantity multiplied by price should equal the line total. The order is checked against its VAT basis, whether the prices are VAT-inclusive, VAT-exclusive or zero-rated, and the lines are reconciled to the printed total.

    More on validate

Anything that needs a person gets a review reason in plain words. Hard reasons stop the order until they are resolved, such as a missing required field, a customer not in your list or a product not in your catalogue. Soft reasons ask for a quick check, such as a low-confidence field or a total that does not add up.

Weeva also compares every new order with recent ones on PO number, customer, dates, totals and lines. A likely duplicate is held for a person to confirm or dismiss before it can be captured twice.

  5. 05

    Push

Into your ERP, once, with a record.

Illustrative example: Orders arriving as PDF, spreadsheet, photo and CSV becoming one PO record for Ridgeback Foods, which is pushed along a single path into the ERP, among six supported ERP systems.

Approved orders go to your ERP through its connector, or out as an Excel workbook for teams that work in spreadsheets. Before a new connection goes live, pushes run as a dry run, so you can see exactly what would be created without anything being written.

    More on push

Every push carries a unique key, so a retry after a dropped connection can never create a second sales order. Businesses with more than one company in the ERP have each order routed to the right one. If a customer does not exist in the ERP yet, the operator is offered the option to create it; Weeva never creates one on its own.

When the push succeeds, the ERP's own reference is recorded against the order with a link straight to it. When it fails, the error is shown to the operator in plain words and nothing is retried silently.

What happens to a delivery note, step by step?

Five steps from the bay to the goods received voucher.

The output is a GRV (GRN or goods receipt elsewhere) against the right purchase order.

Illustrative example: A phone at the receiving bay photographing a supplier's delivery note, the page framed in the camera view and marked as captured.
  1. 01

    Capture

The receiver photographs the delivery note or proof of delivery on a phone or tablet at the bay, or it is forwarded by email. Several pages become one job.

  2. 02

    Read

Weeva reads the supplier, the delivery note number, the PO reference and every line, including batch and expiry where they are printed.

  3. 03

    Find the PO

The purchase order is found among your open POs in the ERP, by its number where printed, otherwise by supplier and by the lines themselves.

  4. 04

    Compare

Ordered and delivered are compared line by line, within tolerances you set. Short deliveries, substitutions, price and pack variances are named.

  5. 05

    Confirm and post

The receiver confirms on the device. The GRV is created, the purchase order is closed or left partially received, and the photo travels with it.

When does a person need to look at an order?

Only what needs judgement reaches a person.

Illustrative example: An order pipeline with three columns, Ready, Needs review and Synced, and an order in Needs review showing its reason.

Every correction your team makes improves matching for your business.

Only uncertain fields and matches reach a person, and each confirmation is used to retrain our AI model for your business.

  1. 01

    Flagged

A field or a product match falls below the confidence threshold and is routed to review.

  2. 02

    Corrected

A person on your team confirms the right value or the right SKU, in seconds.

  3. 03

    Retrained

That correction is kept as labelled truth for your business's extraction and matching.

  4. 04

    Compounding

The same customer, format or product description is handled automatically next time.

How does Weeva connect to our ERP?

Sits alongside what you have.

See all integrations

Security, in three words.

  • Configuration, not custom code

Connectors push by API and are built on one framework. A new ERP is an adapter and configuration on that framework.

  • No big-bang cutover

Weeva runs in parallel with your current process until you are satisfied, then you switch, customer cohort by customer cohort.

  • Two-way where the ERP supports it

Weeva reads your customers, catalogue and open purchase orders, and writes sales orders and GRVs.

Three steps, and nothing switches over until you say so.

Most cloud systems are configured in the first week; adapter builds are scoped in discovery.

  1. 01

    Discovery

Thirty minutes on how orders arrive, three sample documents, and a look at your catalogue and ERP.

  2. 02

    Parallel run

Weeva processes real orders beside your team. Nothing posts until you approve it.

  3. 03

    Switch over

Customer by customer, when the numbers on your own orders satisfy you.

What teams ask about the platform.

Which file types can Weeva read?

PDF, Excel, CSV, Word, plain text, orders typed into an email body, scanned documents, phone photos, handwritten notes and WhatsApp messages. Native PDFs, scans and photos are read visually; spreadsheets and CSV files are read as data. A document with several orders inside is split into one order each.

How accurate is the extraction?

It depends on your documents, which is why we do not publish a headline figure. Every field carries a confidence score, and anything below the threshold you set goes to a person. During the parallel run we measure accuracy on your own orders, and every correction your team makes is applied automatically to the same case next time.

Does it need templates per customer?

No. Weeva reads each document the way a person would, so a new customer's first order needs no set-up. Customer-specific habits, such as their own product codes, units and pack sizes, are learned from the corrections your team makes and remembered for that customer.

What happens if the ERP is down?

The order waits. The error is shown to the operator in plain words and nothing is retried silently. Every push carries a unique key, so when the ERP is back and the order is sent again, it cannot create a duplicate sales order. The order keeps its full history throughout.

Can I run it in parallel with my current process?

Yes, and that is the default. Weeva processes real orders alongside your team's usual capture, so you can compare the results on your own orders before anything is switched over. Pushes can run as a dry run first, showing what would be created in the ERP without writing anything.

Where is the data hosted?

Each client runs in an isolated tenant with its own encryption key, and sensitive fields and uploaded documents are encrypted at rest. The hosting region and the list of sub-processors are set out in our security overview, which we share on request. Ask us for the detail your IT or compliance team needs.

How long does integration take?

Most cloud systems are configured in the first week. A native connector is configuration; an adapter is built on the same connector framework, and its build is scoped in discovery. Weeva then processes real orders in parallel with your current process until you are ready to switch over.

What does my team have to do day to day?

Work the review queue. Orders that Weeva is confident about are ready to send; orders that need judgement show a plain reason, such as an unknown customer or a low-confidence quantity. Your team confirms, corrects or dismisses, and one click sends the order to the ERP. Corrections improve matching for your business.

See Weeva on your own orders.

Pick a time that suits you. Bring three sample orders, including one your team finds awkward, and we'll run them through extraction and catalogue matching live. No obligation.
